Cake Deposit Calculator
A deposit confirms your custom cake booking and protects your time. Here's how to calculate the right deposit amount — and what to communicate to clients.
Why deposits matter for custom cake orders
Unlike a retail purchase where payment happens at checkout, custom cake orders require you to purchase ingredients, block time on your calendar, and often decline other orders for the same date — all before you've been paid. A deposit is the client's commitment to follow through.
Without a deposit policy, you're exposed to last-minute cancellations with no compensation for the time and materials you've already committed.
How much deposit should you charge?
The most common deposit for custom cake orders is 50%. Some bakers charge:
- 25–30% — for orders with a long lead time (6+ months, common for weddings)
- 50% — the standard for most custom orders
- 75–100% — for rush orders or clients without an established relationship
There's no single right answer. The key is consistency — set a default that works for most orders and communicate it clearly every time.
How CakeQuote calculates the deposit
In CakeQuote, you set a default deposit percentage in your pricing settings. When you create a quote, the app automatically calculates:
- Deposit due = Total × deposit %
- Remaining balance = Total − Deposit due
You can override the deposit percentage on any individual quote. The client-ready quote preview shows the deposit amount and remaining balance clearly, so there's no confusion about what's owed when.
When to collect the remaining balance
Most home bakers collect the remaining balance on or before the pickup/delivery date. For wedding cakes, 30 days before the event is common. State this clearly in your quote terms.
Deposit policy in your quote
Your deposit policy should be stated in writing on every quote. CakeQuote has a terms section in the quote preview where you can include your cancellation and refund policy. This protects you and sets professional expectations from the start.
