Why custom cake orders are hard to quote

Unlike standard menu items, custom cakes don't have a fixed price. The final number depends on at least 8–10 variables: servings, tiers, design complexity, flavor, filling, packaging, delivery, and any rush premium. Miss one, and you've undercharged. Over-explain in the DM, and you lose the client before they've committed.

The goal of a custom cake order quote is to remove all that friction. You collect the order details, run the calculation, and send the client a clean summary — total, deposit, remaining balance, and your terms.

The variables that affect your custom cake price

Servings

The foundation. More servings = more batter, more frosting, more time. Your base price per serving is the simplest number to set and the easiest to understand.

Tiers

Each additional tier adds structural complexity, dowels, and assembly time. A flat extra-tier fee per tier beyond the first is a clean way to price this.

Design complexity

This is the most variable line item. Simple buttercream swirls take 30 minutes. Hand-painted watercolor fondant takes 4 hours. Having 4 preset tiers (simple / standard / detailed / premium) lets you apply a standard fee for each level.

Specialty fillings

Fresh fruit compote, ganache, or specialty flavors cost more than standard vanilla cream. Charge a flat add-on per cake or per tier.

Packaging, delivery, rush

These are fixed costs per order, not per serving. Set reasonable defaults and override when needed.

The role of the deposit in a custom order quote
